The Role

Reporting to the Team Leader Organisational Governance, this role plays an important part in supporting Council’s governance functions and ensuring the organisation meets its legislative obligations. 

This role contributes to the promotion of sound governance practices across the organisation through accurate record-keeping, responsive administrative support, and assistance with compliance-related processes. It also provides broader administrative support across organisational governance functions, including risk, compliance, delegations, managing registers, supporting the administration of Council’s Freedom of Information (FOI) and Privacy obligations in accordance with legislative and regulatory requirements.

Key responsibilities:

  • Provide effective and responsive administrative support to the Organisational Governance team to support the delivery of Council’s governance functions.
  • Maintain and administer key governance registers, including:
  • Travel register
  • Gifts and hospitality register
  • Conflict of Interest (COI) declarations
  • Assist with the administration of the Personal Interest Return process, including coordination, tracking and record-keeping.
  • Provide high-level administrative support, including managing the Governance inbox, coordinating correspondence, and processing accounts and invoices.
  • Assist in the administration of Freedom of Information (FOI) and Privacy processes in accordance with relevant legislation, policies and procedures.
  • Support the maintenance and administration of Council’s Authorisations and Delegations.
  • Provide assistance and support to staff in relation to Compliance and Risk enquiries and system use.
  • Coordinate the preparation, distribution and record-keeping of agendas and minutes for Governance-related committees.
  • Provide support to the Council Governance team and undertake other Organisational Governance functions as required.

About You

To be successful in this role you will have:

  • An understanding of corporate governance including FOI and Privacy would be considered an advantage
  • High attention to detail
  • Good knowledge of the MS Office suite including MS Word, PowerPoint, Excel and Outlook. Experience using Council specific software such as Content Manager TRIM) and pathways will be advantageous
  • Demonstrated ability to quickly learn and proficiently utilise systems
