Our Parkdale Family and Children's Centre is seeking an experienced Centre Host and Administration Officer to join us in our journey to provide exceptional education and care to families and children in the Kingston community. 

This role is key in customer service and administration at the Family and Children’s Centres. We work closely with the community to create a welcoming and supportive environment for children and families. As the main point of contact in our integrated service and an important team member, you'll help shape our culture while providing essential admin support to families and leadership at the centre.

 

We have the following positions available:

1 x Part time (Wednesday, Thursday and Friday 8.30am to 5.00pm) fixed term 12 month contract commencing in November 2024.

Remuneration: Band 4 $36.55 per hour

 

Key Responsibilities:

  • Provide admin and operational support to the Early Years team.
  • Handle family inquiries about enrolment, programs, billing, and services.
  • Maintain and update client records and databases, ensuring compliance. 
  • Track service utilisation and work with leadership to fill vacancies.
  • Manage enrolments for new families and maintain staff development records.
  • Oversee family accounts, process payments, issue invoices, and manage financial tasks.
  • Liaise with government departments for family issues and coordinate building maintenance and IT support.
  • Build positive relationships with families, offering responsive and courteous assistance.
  • Use business software effectively and have strong IT skills, including proficiency with MS Office.

The ideal candidate will:

  • Be highly organised, proactive, and capable of working in a job share arrangement, providing comprehensive administrative and operational support.
  • Have excellent verbal and written communication skills to handle family inquiries and build positive relationships.
  • Demonstrate proficiency in managing client records, financial tasks, and maintaining databases.
  • Be adept at using IT systems and software, with a strong grasp of MS Office and other relevant applications. 
  • Demonstrate a high level of professionalism, confidentiality, and ethical standards.
  • Be responsive, adaptable, and capable of thinking creatively to solve problems.
  • Experience in a similar role with a sound understanding of childcare subsidy, kindergarten funding, managing enrolments, liaising with government departments, and experience with CCMS Software such as XAP preferred. 
  • Have a respectful, empathetic approach to working with diverse individuals and families.
  • Hold a Current working with childrens check.
